Information We Collect

We collect information you provide directly to us: contact details (name, email, phone) when you use our contact or maintenance request forms; rental application information (including date of birth, income, residence and employment history, and supporting documents such as government ID and proof of income); account information for tenant and owner portal users (login credentials, lease and payment records); and maintenance request details including any photos you submit.

How We Use Your Information

We use your information to operate our property management services: processing rental applications, managing leases and rent payments, coordinating maintenance, communicating with tenants and property owners, generating statements, and meeting our legal obligations as a New York property manager. We do not sell your personal information to third parties.

How We Share Information

We share information only as needed to provide our services: with the property owner of the unit you rent or apply for; with service providers that help us operate (secure database and file hosting, email delivery, and — if you pay online — our payment processor, Stripe, which handles your payment details directly); with tenant screening services you authorize during an application; and when required by law, court order, or to protect legal rights.

How We Protect Information

Your data is stored with enterprise-grade cloud providers using encryption in transit (SSL/TLS) and at rest. Portal access requires authenticated login, and database-level security rules ensure tenants and owners can only access their own records. Application documents are stored in private storage accessible only to management.

Data Retention

We retain records as long as needed for the tenancy or application process and as required by New York law for lease, financial, and fair-housing records. You may request deletion of your application data if you are not placed in a unit, subject to our legal record-keeping obligations.

You may request access to, correction of, or deletion of your personal information by contacting us at cm@blueoaksrealestate.com or 518-275-8363. Portal users can review much of their information directly in their dashboard.

Cookies

Our website uses only essential cookies needed for portal login sessions. We do not use advertising or cross-site tracking cookies.
